If you are the head of a small or medium sized business, then you know that the systems that you have in place are going to help you to succeed. If you’re going to assign a task, no matter what that task is, to a team in your business, then you need to know that that task is going to be completed in the correct way.

You need to have the right set of business systems in place that your staff must follow for that to work. It’s only then that you can expect to have control and consistency over each business function. With the right systems, you gain order and you gain control, and that’s exactly what you should have when you are the head of a business. You need your small business to operate efficiently whether you’re there or not, and creating those systems for your business is going to save you all time to be more responsive to customer orders and queries. Let’s take a look at the top systems that your business will need to find success.

  1. Systems for communication. If your company is just starting out, then the most important thing that you have is the communication between departments. If you’re running your business with just you, that’s great, but if you’re running a business with others, then you need to be able to collaborate. Real face to face relationships outside of email matter, which means you need to look at Slack, Teams, and other ways to video chat your team as you go. With the right IT support for small business, you’ll be able to maintain this across remote teams as well. This is important if you want to be able to keep up with everybody and understand what’s happening in your business at all times.
  2. Systems for project management. Once you’ve moved past those conversations, you need to think about project management systems so that you can keep everybody collaborating across different teams and different locations. Asana and Trello are great for this because people can log in from wherever they are to see what’s happening on the board in front of them. Being able to track progress on active jobs and keep all tasks at hand in one place can really help you to stay on top of things and know that your business is running smoothly.
  3. Systems for customer relationship management. Customer relationship management systems can help you to keep up with your customers and understand where they’re coming from. HubSpot is a great one to use for this, and it helps to keep people engaged. There are plenty of options out there, so it’s a matter of trying a few out to see which workflow works for you.
  4. Systems for bookkeeping. Managing the money is the next thing to think about. If you’re not outsourcing your finances to an accountant or a team outside of the business, then you need to have somewhere to have all money conversations in one place. Quickbooks is one of the financial tools that people use in business to be able to keep on top of their accounting processes.
